1. Scope and purpose
This policy describes how the Company handles information through Paulas Bake Shop Reporting (the "Application"), a private internal system used to retrieve, store, organize, and analyze data from the Company's QuickBooks Online account. The Application is not available for general public use.
2. Information processed
When an authorized Company representative connects QuickBooks Online, the Application may retrieve accounting and business records that the Company is permitted to access through Intuit's APIs. Depending on the enabled synchronization features, these may include the chart of accounts, transactions, invoices, sales receipts, expenses, bills, payments, journal entries, items, customers, vendors, company information, and financial report results.
Some records may contain names, business contact information, addresses, or other personal information entered in QuickBooks Online. The Application also requires OAuth authorization information, such as tokens and connected-company identifiers, to maintain an authorized connection. It may produce operational logs needed for troubleshooting and security.
3. How information is used
Information is used only for the Company's internal accounting analysis, report generation, reconciliation, historical comparisons, and related operational decision-making. The Application is intended to retrieve accounting data for analysis, not to edit the source books in QuickBooks Online.
4. Storage and access
Retrieved accounting information is intended to be stored in a Company-managed PostgreSQL database hosted on its private infrastructure. Access is limited to authorized Company users and administrators according to their responsibilities. The integration uses secured network connections for supported external communications; appropriate administrative, access, and backup safeguards apply to the deployed environment.
The publicly accessible pages displaying this policy and the end-user agreement do not expose the accounting database or provide public access to QuickBooks data.
5. Sharing and service providers
The Company does not sell retrieved QuickBooks data or use it for advertising. Relevant information may be processed by service providers only as needed to operate the underlying services, such as Intuit's QuickBooks Online platform, network hosting, and infrastructure providers, or disclosed where legally required. The Company does not make this Application available as a data service to unrelated businesses.
6. Retention and disconnection
Information may be retained for internal reporting, audit support, backup and recovery, and applicable accounting, tax, or legal requirements. Disconnecting QuickBooks Online prevents subsequent authorized synchronizations once effective, but it does not automatically erase previously retrieved information or backup copies. Requests to review or delete information will be evaluated by the Company in light of applicable law and recordkeeping obligations.
7. Security and reporting concerns
The Company seeks to protect access to the Application and its stored data using reasonable measures appropriate to an internal accounting system. No connected system can guarantee absolute security. If you believe Company information has been accessed improperly, contact the Company at the address below.
8. Visitors to these policy pages
These legal pages do not ask visitors to create accounts or enter financial information, and the pages do not embed third-party advertising or analytics scripts. Routine network request data may be processed by the hosting provider to deliver and secure the pages.
9. Questions and policy updates
For privacy questions or data requests, email info@paulasbakeshop.com. The Company may update this policy when the Application's actual data handling or legal requirements change and will revise the effective date when appropriate.
